StratPlanArc is an AI-powered strategic planning platform designed to help organizations (primarily nonprofits, government agencies, and small businesses) develop comprehensive strategic plans through autonomous research and stakeholder engagement.

When you use StratPlanArc, we collect the following information:

• Organization Information: Organization name, type, size, industry, and website URL
• Strategic Context: Mission statement, organizational goals, current challenges, strategic priorities, and planning timeframe
• Stakeholder Data: Responses from your organization's stakeholders collected through our survey and research tools, which may include names, titles, email addresses, and responses to strategic questions
• Uploaded Documents: Any documents you choose to upload to assist with the planning process (strategic plans, financial reports, program descriptions, etc.)

1.2 Information Collected Automatically

We collect certain information automatically when you use StratPlanArc:

• Usage Data: Pages visited, features used, frequency and duration of use, referring/exit pages, and the date/time of activity
• Device Information: IP address, browser type and version, operating system, device type, and mobile device identifiers
• Interaction Data: Generated plans, feedback, revisions, and communications with the platform

1.3 No Account Required

Currently, StratPlanArc does not require account creation. We may collect limited information (IP address, usage patterns) through cookies and similar technologies on a minimal-cookie basis.

2. ⚠️ Important: No Confidentiality Assurance for Uploaded Documents

By uploading documents or submitting content to StratPlanArc, you acknowledge and agree that:

• Uploaded documents are processed by AI systems and stored in cloud infrastructure
• We cannot guarantee that uploaded materials will remain confidential
• You should NOT upload confidential financial data, trade secrets, proprietary information, or personally identifiable information (PII) beyond what is necessary for the strategic planning process
• Sensitive information such as social security numbers, credit card numbers, banking information, passwords, health records, or other highly sensitive PII should NEVER be uploaded
• You are solely responsible for determining what information is appropriate to share with StratPlanArc
• You assume all risk associated with uploading any documents or content to the platform

If you have questions about whether specific information is safe to upload, err on the side of caution and do not upload it.

2a. Document Uploads

Users may upload documents as AI reference material to guide strategic plan generation. Do not upload confidential, proprietary, or highly sensitive documents. Uploaded content is stored securely and used solely to generate strategic plans. By uploading any document you confirm it does not contain trade secrets, personal health records, financial credentials, or other sensitive data you are not authorized to share.

3. How We Use Your Information

StratPlanArc uses the information you provide for the following purposes:

• Plan Generation: To understand your organization's context and generate customized strategic plan options
• Stakeholder Research: To collect and synthesize stakeholder input into planning recommendations
• Service Delivery: To deliver the strategic planning service, including plan creation, revision, and publication
• Quality Improvement: To improve our AI models, planning recommendations, and user experience
• Communications: To send you updates about your plan, service changes, and support notifications

4. AI Model Training

StratPlanArc does NOT use your organization's data, documents, or strategic context to train our AI models. Your data is used solely to generate your organization's strategic plan and is not incorporated into model training or fine-tuning.

However, we may:

• Use anonymized, aggregated data (across all users) to identify trends and improve our planning framework
• Analyze patterns in how organizations structure goals and challenges to refine our planning methodology

Your specific organizational data, confidential information, and strategic content will not be used for model training.

5. Data Retention

• Active Plans: Data is retained while you are actively using StratPlanArc
• Inactive Accounts: After 12 months of inactivity, we may delete all associated data
• Account Deletion: Upon written request, we will delete all your data within 30 days, except where legally required to retain records
• Stakeholder Data: Stakeholder information collected through surveys is retained only as long as necessary to complete your strategic plan

6. Third-Party Services

StratPlanArc uses the following third-party services:

• AI & Hosting: Polsia platform infrastructure (Express.js backend, PostgreSQL database) hosted on Render
• Cloud Databases: Neon PostgreSQL for data storage
• Anthropic Claude API: For AI-powered plan generation and analysis
• Model Context Protocol (MCP): For integrating specialized tools and data sources

These third parties have limited access to your data solely to provide the services described in this Privacy Policy. We require them to maintain appropriate data security measures.

7. Data Security

We implement industry-standard security measures to protect your data, including:

• Encrypted data transmission (HTTPS/TLS)
• Encrypted storage of sensitive information
• Access controls and authentication
• Regular security updates and monitoring

However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

StratPlanArc is not intended for children under 13. We do not knowingly collect information from children under 13. If we become aware of such collection, we will delete the information immediately.
